Terms & Conditions & Service Information

Gaia Family Chiropractic

These Terms & Conditions explain how appointments and chiropractic services at Gaia Family Chiropractic operate. They are intended to ensure that patients understand what to expect from our service and the arrangements surrounding appointments, treatment and payment.

By booking an appointment with Gaia Family Chiropractic, you agree to these Terms & Conditions.

We aim to provide a professional, welcoming and patient-centred service at all times and to practise in accordance with the standards and guidance of the General Chiropractic Council (GCC) and applicable UK legislation.
1. About Gaia Family Chiropractic
Gaia Family Chiropractic provides chiropractic assessment and care for adults, pregnancy and postpartum patients, babies and children.
Chiropractic care is provided by appropriately qualified and registered chiropractors. Chiropractors practising in the UK are regulated by the General Chiropractic Council (GCC).
Our approach is individualised. Your chiropractor will assess your needs and discuss appropriate options with you. Chiropractic care may include manual therapy, soft-tissue techniques, exercise, stretches, rehabilitation advice, lifestyle advice and recommendations to seek assessment from another healthcare professional where appropriate.
We do not guarantee a particular outcome from treatment. Your response to care can vary and treatment will be reviewed according to your individual circumstances.
2. Initial consultations
All new patients are required to have an initial consultation before commencing ongoing chiropractic care.
The initial consultation allows your chiropractor to:
  • discuss your current concerns and relevant medical history;
  • carry out an appropriate clinical assessment;
  • consider whether chiropractic care is appropriate for you;
  • explain the findings of the assessment;
  • discuss appropriate care options, including alternatives or referral where appropriate; and
  • provide treatment during the appointment where clinically appropriate and where informed consent has been obtained.
Treatment is not automatic following an initial consultation. Your chiropractor may recommend further assessment, referral to another healthcare professional, or no treatment if this is considered more appropriate for your circumstances.
The cost of an initial consultation is £60, unless another price has been specifically stated for a particular service or offer.
3. Consultation deposits
A £20 deposit is required when booking a new patient consultation.
The deposit is part-payment towards your consultation and will be deducted from the £60 consultation fee. The remaining £40 is payable at the appointment.
The deposit is not an additional charge.
The purpose of the deposit is to secure the appointment and help us manage our appointment availability. Initial consultations are 50-minute appointments and are often booked in advance. A deposit helps us reduce the number of appointments that are missed or cancelled at short notice and allows us to offer appointments to other patients where possible.
Cancelling or rearranging a consultation:
If you need to cancel or rearrange your consultation, please provide at least 24 hours' notice.
Where at least 24 hours' notice is provided, your £20 deposit will be transferred to your rearranged appointment or refunded where appropriate.
If an appointment is cancelled with less than 24 hours' notice, or you do not attend your appointment, the £20 deposit will normally be retained.
We recognise that genuine emergencies and unexpected circumstances can occur. These will always be considered individually and sympathetically.

4. For existing patients, we ask that appointments are cancelled or rearranged with at least 24 hours' notice wherever possible.
Appointments cancelled with less than 24 hours' notice or missed without notice may be subject to the full appointment fee.
We understand that illness, emergencies and circumstances outside your control can arise. We will consider these circumstances on an individual basis.
Where appropriate, we may waive or reduce a cancellation charge at our discretion.
Repeated late cancellations or missed appointments may result in us reviewing whether we are able to continue offering future appointments.
5. Please arrive on time for your appointment.

If you arrive late, your appointment may need to be shortened so that we can continue to see patients booked after you. The full appointment fee may still apply.

If you are significantly late, we may need to treat the appointment as a missed appointment and rearrange it.

If you know that you are going to be late, please contact us as soon as possible.

We will make reasonable efforts to accommodate unavoidable delays, particularly where you are attending with a baby or young child, but this cannot always be guaranteed.
6. We welcome babies and children at Gaia Family Chiropractic.

A parent or appropriate adult with parental responsibility should normally accompany patients under 16 years of age.

Where a child or young person is unable to provide valid consent themselves, consent will be obtained from an appropriate person with the legal authority to provide it, taking into account the child's age, understanding and capacity.

The child's welfare, dignity and best interests will remain central to their care.

Parents and carers are welcome to remain present during appointments where appropriate.

Where a clinical assessment or treatment requires additional privacy, this will be discussed with the patient and/or parent or carer as appropriate.
7. Pregnancy and postpartum appointments are tailored to the individual patient.

Your chiropractor will consider your pregnancy stage, medical history, symptoms and any relevant information provided by your maternity or healthcare team when determining whether chiropractic care is appropriate.

If your circumstances change during pregnancy or following birth, please inform us before your appointment.

Where your symptoms or circumstances require medical, maternity or other healthcare assessment, we may recommend that you contact your GP, midwife, obstetric team, health visitor or another appropriate healthcare professional.

Chiropractic care does not replace routine maternity, GP or other medical care.
8. Your chiropractor will explain the proposed assessment and/or treatment in a way that is intended to help you make an informed decision.

You are entitled to ask questions, request further information, decline any part of an assessment or treatment, or change your mind at any point.

Consent is an ongoing process rather than a one-off event.

You should tell your chiropractor if you experience discomfort, have concerns about a technique, or do not wish to continue with any part of your care.

Your chiropractor may modify or stop treatment where they consider this clinically appropriate or where continuing would not be in your best interests.

Where appropriate, alternative options, self-management, referral or no treatment will be discussed.
9. Your chiropractor will carry out an assessment appropriate to your presenting concerns and clinical circumstances.

Chiropractic care is not suitable for every condition or every patient. If your chiropractor considers that your symptoms require further investigation or treatment outside the scope of chiropractic care, they may recommend that you consult your GP, another healthcare professional or an appropriate specialist.

Where clinically appropriate and with your consent, information may be shared with another healthcare professional involved in your care.

In certain circumstances, information may need to be disclosed without consent where permitted or required by law, for example where there is a safeguarding concern or another legal obligation.
10. To help us provide safe and appropriate care, you are responsible for:

- Providing accurate and complete information about your health, medical history and current symptoms;
- Informing us about relevant changes to your health or medication;
- Telling us about any new diagnosis, injury, pregnancy or other significant change in circumstances;
- Following reasonable advice given to you regarding your care;
- Informing us if you experience a significant or unexpected reaction following treatment;
- Attending appointments at the agreed time; and
- Providing sufficient notice if you need to cancel or rearrange an appointment.

Please do not withhold information that may be relevant to your assessment or treatment.
11. Every patient responds differently to chiropractic care.

Although we will provide care based on your individual assessment and current clinical evidence, we cannot guarantee a particular result, number of treatments or timescale for improvement.

Your care plan will be reviewed according to your response, preferences and clinical circumstances.

You are not required to continue treatment indefinitely and you are free to stop care at any time.
12. Current fees are displayed on our website and/or provided to you before treatment.

Payment is due at the time of the appointment unless an alternative arrangement has been agreed in advance.

We accept the payment methods currently advertised by the clinic.

Any applicable deposit, package or promotional terms will be explained at the time of booking.

Where a package or prepaid service is offered, the terms relating to that package, including any expiry date or refund arrangements, will be provided before purchase.

We will not recommend unnecessary care or treatment for financial reasons.

Clinical decisions and recommendations are made independently of payment arrangements.
13. Gift vouchers and promotional offers are subject to the specific terms stated at the time they are purchased or issued.

Unless otherwise stated:

vouchers cannot be exchanged for cash;
vouchers cannot be transferred where they are specifically issued to a named person;
promotional offers cannot normally be combined with other offers; and
any expiry date or other restriction will be clearly communicated before purchase.

Nothing in these terms is intended to remove or restrict any statutory rights you may have as a consumer.
14. We maintain appropriate clinical records relating to your care.

Patient information is treated as confidential and is handled in accordance with professional obligations, applicable data protection law and our Privacy Notice.

Clinical records may include information such as your medical history, assessment findings, treatment provided, clinical recommendations, correspondence and other information relevant to your care.

We take reasonable and appropriate measures to keep patient records secure.

Your information will not ordinarily be disclosed to third parties without an appropriate legal basis. Where information is shared for the purposes of your care, this will be handled in accordance with applicable confidentiality and data protection requirements.

Further information about how we collect, use, store and protect your personal information, including your rights under UK data protection law, is set out in our Privacy Notice.
15. We will not photograph, video or audio-record you, or use identifiable images or recordings of you for marketing, education or social media purposes without obtaining appropriate consent.

Consent for photography, video or recording is separate from consent to clinical treatment.

You can refuse permission or withdraw consent for future use without this affecting your clinical care.
16. We may contact you using the contact details you provide for purposes connected with your care and the administration of your appointments.

This may include:

- Appointment confirmations and reminders;
- Appointment changes;
- Information relating to your treatment;
- Invoices or payment information;
- Follow-up communications; and
- Other necessary administrative communications.

We may use telephone, email, text message or our online booking/patient management system for these purposes.

Please let us know if your contact details change.

We will not use your personal information for direct marketing unless we have an appropriate lawful basis to do so and, where required, your consent.

You can unsubscribe from marketing communications at any time.
17. We may use third-party providers to support the operation of the clinic, such as appointment booking, payment processing, patient management, exercise or communication platforms.

Where third-party providers process personal information on our behalf, we take reasonable steps to ensure that appropriate data protection and confidentiality arrangements are in place.

Further details are provided in our Privacy Notice.
18. Information provided on the Gaia Family Chiropractic website, social media accounts, emails and other general communications is intended for general information and educational purposes.

It does not constitute an individual diagnosis or personalised medical advice.

Information obtained online should not be used as a substitute for appropriate assessment by a qualified healthcare professional.

If you have symptoms that are new, severe, worsening or concerning, seek appropriate medical advice.

In an emergency, contact 999 or attend your nearest Emergency Department.
19. We welcome feedback and take concerns seriously.

If you have a concern about any aspect of your care, treatment, communication or experience at Gaia Family Chiropractic, please contact us as soon as possible so that we have the opportunity to understand the concern and respond appropriately.
